We've decided to implement a rolling calendar event window instead of fixed dates for community events. This approach allows us to stay flexible and responsive to player interests and availability, while minimizing the workload on our volunteer moderators.

By keeping the next 4-6 weeks of events planned and the rest in a flexible pool, we can quickly adjust the schedule to accommodate sudden interest surges or changes in player availability. This method also helps in spreading out events to prevent overlap, ensuring that the community can engage in a variety of activities without feeling overwhelmed.

This system requires minimal upfront planning but demands flexibility and coordination among our moderators. To streamline this, we'll set up a shared document where moderators can propose and plan events, and we’ll implement a system for quick approval and scheduling within the calendar. This will help in keeping everyone informed and in sync as we manage the community events.
