Design Note: Community Events Calendar Structure

The calendar uses a fixed weekly schedule to reduce cognitive load for young participants. Every event is assigned to a consistent day and time—Saturdays at 5 PM local server time—making it easy to remember without needing to check constantly. This predictability supports routine and helps players plan their participation without confusion.

We avoid rotating event types or irregular timing because younger users benefit from stability and clear expectations. Instead of mixing game modes or themes unpredictably, each event follows a set format: one themed challenge (e.g., obstacle course, trivia, mini-game tournament) with a simple, consistent progression from start to finish. This reduces setup friction and keeps focus on fun and inclusion.

Moderators can plan events in advance using a shared spreadsheet, but the calendar itself is static in layout. Only the event name and theme change each week. This limits changes to what’s visible in the in-game announcement feed, preventing overload and making it easier for new players to catch up without missing key details.

The calendar is displayed in the server’s main chat channel every Friday evening, with a pinned message that includes a brief recap of the previous event and a reminder of the next one. This low-effort, high-visibility method ensures no one misses updates while minimizing disruption.

No complex tools, bots, or external platforms are used. The system relies only on manual updates by moderators and basic server features. This keeps the experience accessible and secure, avoiding any technical hurdles that could frustrate or exclude younger players.
